Where the manual work hides
Most finance teams know their large tasks. The time loss comes from the small, repeated ones: posting bank entries, cleaning exports from software, reconciling GST and TDS, chasing vendor balances, and stitching MIS together from several spreadsheets every month.
How to choose what to automate
- Frequency. A weekly or monthly task repays the effort quickly.
- Volume. Hundreds of lines are slow by hand and quick by machine.
- Rules. If a person follows the same steps each time, software can too.
- Cost of error. Where a mistake is expensive, consistency is worth a great deal.
Tasks that need judgement, negotiation or interpretation of unusual facts should stay with people. Automation is best used to prepare the ground for that judgement.
Control is the point, not just speed
A good automated process does more than save time. It checks that totals tie, lists exceptions instead of hiding them, keeps a trail of what was done, and leaves a human to review the results. Without that, automation simply produces errors faster.
The tools involved
Much of this does not need heavy software. Excel, Power Query, Power BI, Tally and ERP data, combined with sensible workflow design, cover a large share of finance automation needs. The tool matters less than the design of the process around it.
Start small
- Pick one process and map the current steps.
- Standardise the inputs, because messy inputs defeat automation.
- Automate the rule-based steps and add validation checks.
- Run it in parallel with the manual method once to confirm the results agree.
- Measure the time saved, then move to the next process.
Common mistakes
Automating a process that is itself broken; leaving nobody responsible for the output; skipping the validation step; and building something so specialised that only one person can maintain it.
