GST Compliance: Beyond Filing Returns

Filing on time is the baseline. Why reconciliation, review and documentation matter just as much as the return itself.

A return is a summary, not a control

A GST return reports what your books say. If the books are incomplete, if credit has been taken without checking eligibility, or if sales have been invoiced at the wrong rate, the return will faithfully report the error. Filing on time keeps you free of late fees, but it says nothing about whether the numbers are correct.

Where gaps usually begin

  • Purchase invoices in your books that do not appear in the supplier-filed data available to you.
  • Input credit taken without checking whether it is eligible for your business.
  • Sales invoices raised with the wrong rate, classification or place of supply.
  • Credit notes and adjustments recorded in the books but not carried through to the return.
  • Differences between the sales shown in your outward-supply return and the summary return you pay tax on.

A practical monthly rhythm

  1. Close the books first. Return preparation should start from a closed, reviewed ledger.
  2. Reconcile purchases with the auto-generated statement of inward supplies (GSTR-2B) and follow up on differences.
  3. Review sales against the outward-supply return (GSTR-1) and the books.
  4. Review credit eligibility and any reversals that apply.
  5. Match the tax ledgers to the liability shown in your books.
  6. File, then keep the working papers so the position can be explained later.

Why documentation matters

Differences between the data sets the department can see can lead to queries and notices. When one arrives, the businesses that respond best are the ones that can show how each figure was arrived at. Working papers kept at the time of filing are far easier to produce than a reconstruction months later.

Do not skip the year-end review

A review of the full year, comparing returns with the books and with each other, is the best point to catch recurring errors and correct them before they become disputes. Where an annual return and reconciliation applies to you, it should be a genuine reconciliation and not a formality.
